Privacy Policy

1. What we collect

Orchestrators (registered users)

  • Account information: Your name, email address, and password (hashed) when you register.
  • Workspace data: Projects, question banks, and configuration settings you create.
  • Usage data: Actions you take within the dashboard (project creation, settings changes) logged for audit and security purposes.
  • Session data: IP address and browser user agent, used to maintain your login session.

Respondents (conversation participants)

  • Conversation content: Messages exchanged during a conversation, stored in your workspace.
  • Thread identity: A random thread ID stored in an httpOnly cookie. This is used only to resume your conversation — it is never linked to your name or email unless you choose to share them.
  • Voluntary name: If you share your name during a conversation and the project is not set to anonymous mode, it may be stored as a label on the conversation record.

2. How we use your data

  • To provide and improve The Seeker service.
  • To generate conversation transcripts and AI-structured outputs for the orchestrator's workspace.
  • To maintain audit logs of significant actions for security and accountability.
  • To send transactional emails (account verification, password reset) when applicable.
  • We do not use your data to train AI models without explicit, opt-in consent.
  • We do not sell your data to third parties.

3. Respondent data and anonymity

Respondents never create accounts. Their data is stored within the orchestrator's workspace and is only accessible to members of that workspace. If you participated in a conversation and want your data removed, contact the orchestrator who shared the link with you, or contact us directly and we will assist.

When a project is created in anonymous mode, no name or identifying information is ever stored or displayed, even if the respondent volunteers it during the conversation.

4. Data retention

Orchestrator account data is retained for the lifetime of the account. Workspace data (projects, conversations, outputs) is retained until the workspace owner deletes it or the account is closed.

Upon account deletion, your data is retained for 30 days before permanent deletion, allowing for account recovery during that window. Audit logs may be retained for longer to meet legal or security obligations.

5. Cookies

We use the following cookies:

  • Session cookie: A secure httpOnly cookie used to authenticate your dashboard session. Expires when you sign out.
  • Thread ID cookie: A secure httpOnly cookie scoped to a specific conversation URL, used to allow web respondents to resume their conversation. It contains no personal information.

We do not use advertising cookies, tracking pixels, or third-party analytics that identify you across sites.

6. Third-party services

The Seeker uses the following third-party services to operate:

  • Anthropic API: Powers the conversational engine and output processor. Conversation messages are sent to Anthropic's API to generate responses and structured summaries. Anthropic's data usage policies apply.
  • Neon (PostgreSQL): Hosts all application data.
  • Sentry: Used for error monitoring. Sentry may receive sanitized error payloads that do not include conversation content.

7. Your rights

Depending on your location, you may have the right to access, correct, export, or delete your personal data. To exercise any of these rights, contact us. We will respond within 30 days.

If you are a respondent and wish to have your conversation data removed, contact the workspace owner or reach out to us and we will coordinate the removal.

8. Changes to this policy

We may update this Privacy Policy as the service evolves. We will notify registered users of material changes by email or via the dashboard. The updated date at the top of this page reflects when the policy was last revised.
